Role Introduction

Reports to: GM Customer Care

The secretary is to provide a full range of secretarial and administrative support to the General Manager and Global Head of Customer contact.

Key Responsibilities
  • Provide full spectrum of secretarial and administrative duties, provide support to the General Manager, section leaders and managers in the department
  • Manage General Manager’s schedule, coordinate meetings, appointments, and conferences with internal and external parties
  • Handle travel arrangements such as flight availability check, ticket issuance, visa arrangement and hotel accommodations and organize related itineraries for GM and overseas consultants as well as guests
  • Handle department related duties, including updating department organisation chart in the Hub, arrange IT equipment, follow up with enquiries and correspondences with internal or external parties etc
  • Coordinate department’s regular and ad hoc events and meetings
  • Minute taking at section meetings, follow up on action items
  • Assist with drafting PowerPoint presentations
  • Handle any ad-hoc requests raised by GM, section heads and managers; Assist the managers in preparation of various reports and documents
  • Screen telephone calls, handle and follow up enquires and requests, both from internal and external parties; Coordinate and assist with the budget process
  • Maintain the office systems including data management and filing system; Settle invoices for departments. Assist with payment/claim approvals
Requirements
  • HKCEE / HKDSE with formal secretarial training or equivalent qualification
  • Minimum 7 years secretarial/administration experience with at least 3 years being a secretary to a senior manager
  • Good problem solving skills and capable to handle sensitive and confidential information
  • Good interpersonal skills with the ability to deal effectively with internal and external parties
  • Able to handle correspondence with minimal supervision
  • Strong planning and organizing skills and attentive to details
  • Able to work under pressure and to meet tight deadlines
  • Good command of spoken and written English and Chinese
  • Proficiency in MS Office (Word, Excel, PowerPoint and Chinese Word Processing)
