ABOUT THE ROLE & TEAM
As a Legal Officer in SITA’s Legal Resource Hub (LRH), you will play a pivotal role in ensuring the efficiency and effectiveness of the Legal function’s operations. You will support various members of SITA Legal by managing workflows, overseeing core administrative functions, and acting as a key liaison between internal and external stakeholders. Your role will involve managing document flow, tracking the progress of various legal tasks, handling billing and expense procedures, and creating insightful Power BI reports. You will also support with scheduling legal trainings and conferences, ensuring the legal team remains well-organized and equipped to deliver high-quality services. You will report to the LRH Lead and have close interaction with many stakeholders.
WHAT YOU’LL DO
SITA is establishing the LRH this year and the successful applicant for this role will helps shape its operations and ways of working. The role may include any number of the following areas:
Workflow Management & Coordination
•Oversee the end-to-end process for legal workflows, ensuring tasks are properly assigned, tracked, and completed efficiently.
•Collaborate with LRH Lead on case assignment, capacity management, determining bandwidth to ensure effective resource allocation, avoiding bottlenecks, and meeting deadlines.
•Proactively manage bottlenecks and delays, ensuring that legal processes stay on track and deadlines are met.
•Act as the main point of contact between internal legal teams, external counsel, and other departments, ensuring clear and effective communication across all stakeholders.
Document Management & Administrative Support
•Assist in managing the legal department’s document storage and retrieval system, ensuring all documents are appropriately filed, indexed, and easy to access.
•Help prepare, review, and organize legal documents, contracts, and reports, ensuring accuracy and completeness.
•Track the progress of legal projects and tasks, updating internal teams on status and next steps.
•Maintain a database of legal agreements and contracts, ensuring timely updates and easy retrieval when needed.
Expense & Billing Management
•Oversee legal department expenses, including tracking, submitting, and reconciling invoices and bills for external legal services.
•Assist in budget tracking for legal activities, ensuring proper documentation and approval of all legal-related expenditures.
•Ensure timely submission of invoices, working closely with the finance team to resolve any discrepancies.
Reporting & Dashboards
•Create and manage Power BI reports and dashboards to provide actionable insights on key legal metrics, including workflow progress, expense tracking, and performance data.
•Support the legal team with data analysis, creating visual reports that help monitor performance and identify areas for process achievement and improvement.
•Regularly update SSLC Lead on the status of projects and performance metrics.
Event Scheduling & Training Support
•Schedule and coordinate legal team meetings, training sessions, and conferences, ensuring smooth logistics and effective time management.
•Support the planning and execution of internal and external training sessions, including arranging venues, speakers, and materials.
•Coordinate with external training providers to schedule legal workshops and conferences for team development.
General Administrative Support
•Provide general administrative support to the legal department as needed, including document preparation, report generation, and managing correspondence.
•Assist with other administrative tasks, such as organizing legal files, responding to queries, and maintaining office supplies.
Qualifications
ABOUT YOUR SKILLS
•Bachelor’s degree in any relevant field, or equivalent work experience.
•Up to 5 years of post-qualification experience (PQE) in a legal administrative or project management role, ideally within a corporate or law firm setting.
•Strong practical experience of Contract Lifecycle Management (CLM).
•Strong understanding of legal terminology and processes, with the ability to manage tasks efficiently.
•Experience using Power BI, Excel, or other data analytics tools to create reports and dashboards.
•Proficiency in document management systems and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
•Excellent organizational and time-management skills, with the ability to handle multiple tasks simultaneously.
•Strong attention to detail and ability to maintain high standards of accuracy and quality.
•Exceptional communication skills, both written and verbal, with the ability to act as a liaison between diverse stakeholders.
•A proactive and self-motivated individual who thrives in a fast-paced environment and is eager to learn and grow in a legal administration role.
