Qualifications
Job Summary:The Compliance, Certification, and Reporting Specialist is a junior role focused on ensuring adherence to quality standards, proper maintenance procedures, and accurate documentation within the Malta Airport IT outsourcing framework. Working closely with the ITSM agent and under the Governance team, this role plays a critical part in maintaining operational excellence and compliance. The Specialist will collaborate with internal teams, the client (Malta Airport), and third-party vendors to ensure quality and compliance are consistently upheld.
Key Responsibilities:ITSM Quality Assurance- Monitor ITSM processes to ensure tickets are closed as per established procedures and include all required comments and documentation.
- Conduct regular quality checks on ticket closures and follow up on discrepancies or incomplete entries.
- Collaborate with the ITSM agent to drive process improvements and enhance service quality.
- Preventive Maintenance Oversight
- Follow up on preventive maintenance tasks to ensure they are performed according to schedule and standards.
- Conduct checks to validate the accuracy and completeness of maintenance activities.
- Report any gaps or inconsistencies to the Governance team and recommend corrective actions.
Documentation Management- Ensure all documentation is up-to-date, complete, and accurately reflects operational processes.
- Maintain a centralized repository for documentation and provide easy access to relevant stakeholders.
- Regularly review and update records to align with changes in procedures or standards.
Compliance and Reporting- Support compliance efforts by ensuring processes adhere to company policies and client requirements.
- Prepare and submit regular reports on quality, maintenance, and compliance performance to the Governance team.
- Assist in audits and certification processes as required.
Qualifications & Experience:- Diploma or technical certification in IT, Quality Management, or a related field.
- Familiarity with ITSM frameworks and tools is preferred.
- Knowledge of documentation management systems and quality standards is a plus.
Skills & Competencies:- Attention to detail and strong organizational skills.
- Basic understanding of ITSM principles and preventive maintenance processes.
- Excellent communication and collaboration abilities.
- Proficiency in using office and documentation management tools.
- Analytical mindset with a focus on problem-solving.
Key Deliverables:- Ensure tickets within the ITSM framework are closed per procedure and with proper documentation.
- Maintain accurate and up-to-date records of preventive maintenance tasks.
- Provide regular updates and reports on compliance, quality, and documentation status.
