Job Description SummaryResponsible for facilitating order management and order intake into the business internal systems for both Momentum and Repair orders. Includes activities such as Contract review, creating and tracking workflows, order entry, RMA processing, billing, and collection activities in support of Accounts Receivable, or warehouse logistics & shipping, sometimes in a shop structure. Impacts quality of own work and the work of others on the team. Executes standard operational tasks typically subject to instructions and work routines. There is latitude to rearrange the sequence to complete task/duties based on changing work situations.

Roles and Responsibilities

  • Facilitate order management for OE and Repairs - process order intake, input into internal systems. Update orders. Connect to customer portals and systems. May support forecasting, billing, and collection activities. Key contact for customer or PMO inquiries, participate in customer complaint (issue) resolution process.
  • Work with operations to understand and communicate commits and status to customers
  • Focal for Oracle/ERP system. May include support roles with specialized technical field of knowledge; still acquiring higher level knowledge and skills.
  • Dispute resolution.  Works with Accounts Receivable, Accounts Payable, and Program Management to facilitate timely dispute resolution. This includes creating, monitoring, and tracking Workflows, updates, creating credits.
  • Responsible for export documentation including but not limited to, commercial invoices, export license applications, etc.
  • Basic understanding of key business drivers, inclusive of customer contracts; uses this understanding to accomplish own work. Good understanding of how work of own team integrates with other teams and contributes to the area.
  • May have some autonomy to make decisions within a defined framework. Resolves issues in situations that require ERP domain knowledge and judgment within established procedures.
  • Consults more senior team members for issues outside of defined instructions/parameters.
  • Responsible for creating work instructions on new and existing processes related to role
  • Responsible for screening Customer in Know Your Customer
  • Support CS Repairs and Comp Ops Daily management
  • Support labor review and analysis on repairs and OE  
  • Support Repairs order matching, estimating, quoting, and billing, past dues resolution and internal and external customer updates
  • Able to communicate updates to senior leadership team on job related tasks

Required Qualifications

  • Bachelors degree from an accredited university or college (or a high school diploma / GED with at least 4 years of experience in Customer Service
  • Basic Excel knowledge and skills required (manipulate data, pivot tables and VLOOKUPS)
  • Requires schedule flexibility to work limited peak periods

Desired Characteristics

  • Customer order fulfillment experience preferred
  • Experience with ERP systems
  • Basic financial acumen
  • Strong sense of urgency and attention to detail
  • Strong oral and written communication skills. Ability to document, plan, market, and execute programs.
  • Ability to work with a team to problem solve and work within a Standard Work culture

The base pay range for this position is $52,800 to $79,200. The specific pay offered may be influenced by a variety of factors, including the candidate’s experience, education, and skill set. This position is also eligible for an annual discretionary bonus based on a percentage of your base salary/ commission based on the plan.  This posting is expected to close on March 29th, 2024.
