Job Summary
The Hardware Asset Manager is responsible for the full lifecycle management of the organizations physical IT hardware assets, from procurement to secure disposal. This role is critical for optimizing hardware utilization, minimizing costs, mitigating security risks, and ensuring regulatory compliance. The manager will develop and implement asset management policies and processes, maintain a comprehensive hardware inventory, and provide strategic reports to leadership.
Key Responsibilities
Lifecycle Management:
- Manage the entire hardware asset lifecycle, including planning, procurement, deployment, maintenance, and retirement.
- Develop and implement standardized policies and procedures for handling physical IT assets across the organization.
Inventory and Tracking:
- Maintain an accurate and up-to-date inventory of all hardware assets, including desktops, laptops, servers, peripherals, and mobile devices.
- Oversee the tagging, scanning, and tracking of new assets as they enter the organization.
- Manage asset assignments, transfers, and returns for employees throughout their tenure.
Procurement and Vendor Management:
- Collaborate with procurement and finance teams on budgeting, purchase orders, and hardware acquisition strategies.
- Manage vendor relationships, track maintenance contracts, and oversee warranty claims for all hardware.
- Evaluate and select hardware asset management tools and solutions.
Audits and Compliance:
- Conduct regular hardware audits and reconciliations to ensure the physical inventory matches the asset database.
- Ensure compliance with internal policies and external regulations regarding hardware assets.
- Prepare for and support internal and external audits by providing accurate asset documentation and records.
Asset Optimization and Security:
- Optimize asset utilization by identifying unused or underutilized equipment for redeployment.
- Coordinate the secure decommissioning and disposal of end-of-life hardware, including data wiping and proper recycling.
- Collaborate with the security team to mitigate risks associated with untracked or retired devices.
Reporting and Communication:
- Create and maintain dashboards and reports on asset status, usage, compliance, and cost.
- Provide regular updates and analysis to senior management on hardware inventory and strategic recommendations.
- Communicate effectively with employees to ensure compliance with asset policies.
Required Skills and Qualifications
Experience:
- 10+ years of experience in IT asset management, with a strong focus on hardware.
- Demonstrated experience with hardware asset lifecycle management in a mid-to-large IT environment.
Technical Skills:
- Hands-on expertise with enterprise asset management software (e.g., ServiceNow, Intune ).
- Proficiency in data analysis and reporting, with strong skills in Microsoft Excel.
- Understanding of IT infrastructure, including end-user devices, data center equipment, and networking hardware.
Professional Skills:
- Strong organizational skills and exceptional attention to detail.
- Excellent communication, negotiation, and interpersonal skills.
- Proven ability to work collaboratively with cross-functional teams, including IT, finance, and procurement.
- Strong analytical and problem-solving abilities.
Education and Certifications:
- Bachelors degree in Information Technology, Business Administration, or a related field, or equivalent practical experience.
- Certifications such as Certified Hardware Asset Management Professional (CHAMP) or ITIL v4 Foundation are often preferred or required.
