We are currently looking for an Administrative Assistant/Technical Records Clerk to join our team in Southport, Manitoba! This person will join a team of dedicated professionals involved in the Aircraft Maintenance Department and supporting the Aircraft Maintenance Organization (AMO).
JOB OVERVIEW:
The Administrative Assistant/Technical Records Clerk position is a 50/50 split and reports to the Maintenance Manager. They are responsible for providing administrative support to the manager, management team, and to maintenance staff members. They are also responsible for assisting with the maintenance of the aircraft technical records.
DUTIES AND RESPONSIBILITIES:
Office Administration
- Act as the first point of contact in the Maintenance department for new employees
- Provide administrative support for the Maintenance Management Team
- Greet clients / suppliers / visitors to the organization in a professional and friendly manner
- Answer general phone inquiries using a professional and courteous manner
- Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents
- Update and ensure the accuracy of the organization’s databases
- Coordinate the maintenance of office equipment / property
- Prepare meeting agendas and supporting material for distribution
- Draft minutes of Maintenance Review meetings for review by the Maintenance Manager
- Maintain the supply cabinet and manage the ordering of stationary ensuring that basic supplies are always available
- Oversee and update employees’ uniform accounts.
Employee Training:
- Maintain Maintenance Staff Training records online
- Work with Quality Assurance (QA) staff to ensure staff training is up to date
- Advise staff of any upcoming training coming due
- Assist new employees with AMO online training
- Schedule internal training and elementary maintenance training
- Assist employees with timekeeping software and time sheets
Technical Librarian/Technical Records Clerk
- Track all technical publications in library databases
- Ensure latest revision of customer technical publications are available
- Amend, maintain and track all aircraft publications on board helicopters
- Distribute all technical publication amendments, Airworthiness Directives, Service Bulletins, Service Letters and related documents to appropriate personnel and libraries
- Assist QA to control, amend, maintain and track company Manuals
- Ensure the maintenance section of our intranet is kept current with all revisions of manuals, Aircraft Serviceability, spreadsheets etc.
- Update aircraft engines and prop logs and Component History Cards
- Data entry of the installation/removal of parts, and inspections on aircraft into company software systems
- Audit aircraft journey logs and prepare dispatch list
REQUIREMENTS:
- Minimum of 2 years’ experience working in an administrative support position
- Administrative Assistant or Business Administration Certification preferred
- Excellent and professional communication skill, both written and verbal
- Proven ability to maintain high level of confidentiality
- Demonstrated organizational skills, priority establishment and multi-tasking ability
- Superior attention to detail and accuracy
- Mathematical aptitude.
- Flexibility and adaptability
- Proficient computer skills especially in MS Office, including Excel, Word, and Outlook
- Experienced in data entry
- Strong interpersonal and customer service skills
- Aircraft parts and paperwork knowledge an asset
- Ability to obtain and maintain a Public Works and Government Services Enhanced Reliability Clearance
- Must be a self-starter with good motivational and initiative skills
- Ability to learn quickly, understand and carry out oral and written instructions and request clarification when needed
- Must be able to work a rotational shift
