    Site Overview:

    Role Overview:

    This position is within the GE Aerospace Newcastle/Williamtown repair workshop supporting Hawk127 and C130J Aircraft and to provide administration and operational support, tasks including reception, running reports, filing, record keeping, general administration, data entry, logistic support for customer units, repair parts and services for customers and Sub-Contractors.

    This role is required to work with and support other team members to ensure customer satisfaction through on time delivery of maintained product, a high quality of services delivered and effective communication.

    This will be accomplished by working closely with the Military Operations Manager and other GE Aerospace personnel, global suppliers and freight forwarders for prompt and efficient distribution of repair parts and equipment.

      • Administrative and other functions; receiving and dispatching parts, ordering materials and consumables, checking consumables and parts inventory, creating Jobs and other tasks as required.
      • Maintain supplies for workshop functions through routine checks and regular restocking (office stationery, kitchen supplies, conference or training supplies as required).
      • Assist the Stores Team leader in the cyclic stock take and general housekeeping.
      • Develop and maintain knowledge of, and adhere to, the Site Quality, Safety Management and EH&S policies and other compliance requirements. Bring forward for resolution any identified risks through communication to management and / or utilising provided systems.
      • Regulatory compliance in all activities.
      • Interface with a diverse range of suppliers, sub-contractors and freight forwarders.
      • Highly technical product range and inventories supported.
      • Inventory management software tools and processes utilized.
      • Identify and report safety hazards, non-compliances, or unsafe practices to appropriate personnel, including maintenance supervisors, safety officers, and management, for prompt resolution.
      • Collaborate with maintenance personnel to schedule and prioritize facility maintenance activities, ensuring minimal disruption to operations.
      • Coordinate with external service providers, contractors, or vendors as needed to perform specialized testing or repairs on electrical equipment requiring additional expertise or resources.
      • Provide guidance and support to employees on logistics operations to allow leave coverage.
      • Stay informed about changes, updates, and developments in all aspects of the duties.
      • Participate in safety meetings, training sessions, and continuous improvement initiatives to enhance awareness, knowledge, and compliance etc.
      • Conduct visual inspections of electrical appliances, tools, and equipment to identify signs of damage, wear, or deterioration that may pose a safety risk.
      • Perform electrical testing using specialized equipment, such as portable appliance testers (PAT), to verify the integrity and safety of electrical connections, insulation, and grounding.
      • Tag electrical equipment with date-stamped labels indicating the inspection and testing date, test results, and next scheduled test date in accordance with regulatory requirements and company policies.
      • Document test results, findings, and any remedial actions taken in detailed inspection reports and maintenance records, ensuring accuracy, completeness, and compliance with relevant standards.
      • Adhere to company policies, procedures, and guidelines related to administrative processes, integrity and information security.
      • Other duties as and when required.

      Standard Duties

      • General Administration (Reports, Filling, Data Entry)
      • Logistic Support (Goods Receipt and Dispatch including exports)
      • Support of lean practices within workshop.

      Required Qualifications:

      • The ability to obtain and maintain NV1 (Negative Vetting Level 1) security clearance in Australia.
      • Proven experience in an administrative support role and basic logistic support, preferably in a technical environment.
      • Effective communication and interpersonal skills, with the ability to interact professionally with stakeholders at all levels of the organization.
      • Attention to detail (Excellent attention to detail and accuracy, with the ability to meticulously document).
      • Ability to work independently with minimal supervision and as part of a small team, prioritize tasks effectively to meet deadlines and compliance requirements.
      • Working knowledge of Microsoft Office Suite (Word, Excel and Outlook)

      Preferred Qualifications:

      • Previous experience in a military and/or commercial aviation environment is not essential but is highly regarded
      • Experience with managing subcontract work would be beneficial
      • Experience with customers, suppliers, sub-contractors and freight forwarders.
      • Experience working in a small remote team
      • A commitment to learning and mastering new tasks.
      • The ability to think independently, use initiative and resolve issues as they arise.
