This position serves as the Management Analyst in the Federal Aviation Administration (FAA) Eastern Region, Office of Policy, International Affairs & Environment (APL), National Engagement & Regional Administration (ARA). The position directly supports the Regional Administrator (RA) and reports to the Supervisory Senior Advisor.
Duties
Performs multiple, varying and complex assignments. May act as a contributing specialist on significant work activities or as a project manager or team leader for projects/programs/activities. Applies complex fact-finding, analytical, and problem-solving methods and techniques to facilitate teams in identifying interrelated processes, drawing conclusions, and recommending appropriate actions to improve process effectiveness, efficiency, and productivity of administrative programs.
Compiles and reviews appropriate background staff work in preparation for internal and external meetings, conferences, and visits for the RA and DRA. Reviews RA and DRA daily schedule and ensures leadership adherence and adjustments as needed. Applies strategic planning, to include personnel protocol considerations, for RA and DRA meetings with external visitors (e.g., industry, government, public). Accompanies RA and DRA to meetings and other official events as required.
Coordinates policy on complex issues that cross organizational lines. Supports ARA corporate leadership and horizontal integration roles. Guides non-routine issues to ensure prompt response and appropriate level of investigation and follow-through. Communicates objectives and deadlines and apprises leadership on the status of assigned projects. Develops approaches to address current and anticipated problems and issues. Applies experience and comprehensive knowledge of management analysis methods and techniques to plan and conduct functional activities for projects/programs. Research issues, conducts analysis, prepares studies, recommends solutions, and presents to senior leaders.
Coordinates travel with the Administrative Specialist for management team members. Conducts liaison and appropriate trip planning and material preparation to ensure expectations and productiveness of the RA and DRA meetings with government, public, and industry during travel events. Supports preparation of speeches, talking points, presentations, briefing papers, and other materials as necessary. Works closely with the Administrative Specialist and other staff members on daily preparation material and planning and managing the RA and DRA calendars. Reviews and assesses future schedules to determine background material requirements and coordinates needs with meeting sponsors and RA/DRA staff members.
Serves as an administrative official for budget, personnel, performance planning, directives and records training, and policies and procedures as needed. In addition, serves as the RAs Purchase Credit Cardholder and performs all associated activities for purchase and validation. Serves as the backup timekeeping coordinator for the RA/DRA and employees assigned to these offices. Represents the administrative functions in dealings with the supervisor to obtain resources and secure needed information or decisions on major work problems and issues. Contacts are internal and external. Serves as an ambassador on assigned matters which may involve special visitors, Congressional officials and staff, representatives of the aviation community, industry officials, the media, and the general public. Manages RAs visitors, ensuring visits are well-coordinated, materials are available, and appropriate staff members are available for support. Ensures detailed itineraries are complete and briefing materials are ready.
Works with Senior Advisor to coordinate tracking of follow-up actions. Handles special assignments of a confidential nature discretely, ensuring information and actions are accurate, timely, applicable, maintained on a need-to-know basis, and securely stored. Ensures RA office Vital Records are current and backup copies are maintained. In collaboration with the supervisor, articulates and communicates assignments to the Administrative Specialist. Works in a team environment to ensure all front office activities are completed.
