Job Summary:
The Flying Club Administrators primary responsibilities are to help manage the administrative portions of the flying club, including reporting, student accounts, maintenance, schedule monitoring, and communications.
The Flying Club Administrator will report to a flight operations supervisor and will assist in making recommendations for the Flying Club budget and business plan.
Job Duties and Responsibilities (Essential Functions):
- Manage club member invoicing, financial account management and payment collection.
- Monitoring club schedules to ensure the application of operational policies and procedures are adhered to.
- Provide new member Club orientation, scheduling software setup and payroll deduction for dues
- Monitoring and ensuring student financial accounts are current.
- Maintain, update and communicate Club metrics.
- Reviews, codes, and routes invoices for approval (rental and instruction)
- Coordinating with Club instructors to ensure aircraft maintenance is forecast and scheduled.
- Managing the Club wait list in coordination with club president and operations officers.
- Managing the Club roster and email distribution list
- Attend meetings and distribute meeting minutes
- Assists with TSA audits.
Qualifications:

Education and/or Experience:
- Associates degree required, with a preference in business or aviation management
- Two years of flight training administration experience – required
- Two years of basic financial experience – required
- Two years of experience working with a flight school schedule – required
- A basic understanding of aircraft maintenance scheduling – required
Demonstrated Proficiencies/Skills/Abilities:
- Prior position in flight operations administration - preferred
- Strong customer service, and interpersonal skills - required
- Ability to effectively work with other departments and outside vendors - required
