As the Executive Assistant to Northrop Grumman Australia’s Country Executive, you will manage complex, confidential matters while ensuring the smooth operation of the Executive Office. Supporting visiting members from various stakeholder groups, this role requires seamless stakeholder engagement and exceptional organisational skills.
This is a high-impact, hands-on position demanding professionalism, strong interpersonal abilities, and meticulous attention to detail in a dynamic and fast-paced environment.
Your Role
- Act as the primary point of contact, managing all internal and external enquiries with professionalism, confidentiality, and care.
- Handle incoming correspondence, including highly sensitive documents, ensuring prompt, accurate action while maintaining strict confidentiality.
- Organise and coordinate meetings, including scheduling, minute-taking, room bookings, and catering, ensuring all logistics are managed smoothly.
- Manage complex domestic and international travel arrangements, ensuring all details are clearly communicated and well-organised.
- Assist in preparing high-quality reports, briefing materials, and presentations, ensuring accuracy, clarity, and a professional standard at all times.
- Oversee the management of expense claims, timesheet records, and comprehensive filing systems, ensuring they remain secure, up-to-date, and compliant with company policies.
About You
- Demonstrated experience as an Executive Assistant supporting senior executives within a large, complex (preferably global) organisation.
- Previous experience in planning and organising international travel.
- Strong communication and interpersonal skills, with the ability to engage confidently and effectively with a wide range of complex stakeholders at all levels.
- Highly organised and detail-oriented, capable of managing multiple tasks, priorities, and schedules with precision.
- Trustworthy and discreet, with proven experience in handling highly confidential and sensitive information responsibly.
- Proficient in Microsoft Office, able to produce professional documents and manage complex scheduling requirements with ease.
- Proactive and solution-focused, anticipating needs and addressing challenges before they arise.
