Hybrid Work:
This is a hybrid work position in Calgary, Alberta and requires in-person collaboration at the WestJet Campus (22 Aerial Place NE) 3 days per week. This provides flexibility the remaining 40 of the work week. This hybrid work plan allows for critically important learning, collaboration and networking with our colleagues. Specific days in the office are agreed upon by the team.
Payment Services Data Management is a company-wide service provider to the WestJet Group and a key contributor to WestJet’s procure-to-pay operations.
The Data Analyst- Payment Services plays a critical role in managing vendor relationships, ensuring compliance with regulatory requirements, and optimizing vendor-related processes. This role mitigates various financial risks associated with vendor relationships, supply chain management, compliance, operational efficiency, and reputation management. Ensuring accurate vendor data, conducting due diligence, and implementing proactive risk management strategies, to safeguard financial interests and enhance long-term sustainability.
Responsibilities:
- Serves as the primary point of contact for internal business units / stakeholders for the management of new or existing vendor profiles.
- Operates at a high level of attention to details when vetting required forms, certifications and legal documents, ensures legal entitles and tax identifications match contractor vendor details.
- Creates new vendor profiles or completes updates to existing profiles in multiple systems based on stakeholder functions.
- Reviews and implements systematic maintenance ensuring the integrity of the vendor data.
- Supports multiple business units with ticket submission inquiries, communicates related to vendor information; responds to vendor inquiries promptly and assists with vendor-related issues or requests.
- Promptly investigates payment failure enquiries and responds to stakeholder requests for vendor setups.
- Ensures that vendor information and documentation comply with company policies, regulatory requirements such as tax regulations for vendor entities and compliance with any legal or contractual obligations. Validates banking details to ensure accurate payments are delivered
- Identifies potential risks and implements risk management associated with legal entity discrepancies, aged or duplicate profiles, reviews supplier ledger transactions for pending invoices and POs, communicates with the Accounts Payable / Receivable teams changes to payment terms, manages payment risks, or supply chain disruptions.
- Conducts system maintenance and testing; monitors industry trends and implements risk mitigation strategies.
- Contributes to the continuous improvement of PS Data Management processes by identifying opportunities to streamline processes and maximize efficiencies.
- Escalates issues of concern to leadership.
- Facilitates supplier Credit Application process.
Qualifications:
- Experience: 3-5 years of experience in data management, specifically managing supplier data, with hands-on involvement in procure-to-pay processes and purchasing.
- Education: Bachelor’s degree in Finance or Diploma in Business Administration.
- Data Governance: Strong knowledge of data governance and best practices, ensuring accuracy and integrity of vendor data.
- ERP Expertise: Proficiency in ERP systems, particularly in vendor and procurement management modules.
- Communication Skills: Excellent oral and written communication, along with strong customer service skills.
- Prioritize multiple tasks, while effectively communicating with stakeholders across the organization.
- Attention to Detail: Highly detail-oriented, with strong problem-solving capabilities.
- Technical Skills: Advanced proficiency in Microsoft Office, with expert-level skills in Excel.
