As an Administrative Assistant, you will provide essential support to the operations of an aviation engine MRO company, ensuring smooth administrative processes and effective communication within the team. This role involves managing documentation, coordinating schedules, and assisting with projects management in a fast-paced aviation environment. This position will support company’s quality, logistic and administrative sectors.
What you’ll do:
- Communication: Answer phone calls and emails, responding to inquiries from clients, vendors, and team members in a timely and professional manner.
- Scheduling: supporting schedules for maintenance activities, meetings, and appointments for technical staff and management.
- Documentation Management: Prepare, organize, and maintain aviation-related documentation, including work orders, maintenance records, and quality reports.
- Data Entry: Input and maintain data in maintenance management software and databases, ensuring accuracy and confidentiality.
- Office Management: Order and manage office supplies, equipment maintenance, and helping to coordinate logistics for on-site and off-site activities.
- Support: Assist engineering and maintenance teams with administrative tasks, including tracking project milestones and preparing reports.
- Quality Assistance: Help ensure compliance with aviation regulations by maintaining accurate records and assisting in audits.
- Research and Reporting: Conduct basic research related to aviation operations and compile data for management reports and presentations.
- Customer Support: provide support on routine customer support relationship helping on quoting, follow-up and invoicing cycles.
Position Requirements:
- High school diploma or equivalent; an associates degree or higher in business administration or a related field is preferred.
- Proven experience as an administrative assistant, preferably in the aviation or aerospace industry.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with aviation maintenance management software is a plus.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively in a team-oriented environment.
- Knowledge of aviation terminology and regulations is an advantage.
Work Environment: This position will work 100 presential (on site) at Brazil RTC office. Occasional overtime or flexibility in hours may be required based on project needs.
