Job Description:
Main accountabilities include:
Collects all statistical data for the Station Manager to be able to formulate required reports.
Responsible for all accounts receivable and payable functions.
Ensures that all new hires have completed the required paper work, policies and are set up for payroll.
Ensures that the employee files fall under the Company 8 Pillar compliance, which includes all required.
Process payroll for location.
Works with HR to ensure all employees have completed their enrolment for company benefits and coordinates their enrolment through the corporate office.
Ensures that employees have current ID on file (Valid RAIC, Driver’s Licence, Birth Certificate, Passport or Citizenship or PR Card, SIN Card).
Coordinates administrative assistance.
Represent the company in a professional manner.
Assists the General Manager (or substitute) with financial reports and invoicing.
Assists local Health & Safety Committee with minute taking and assisting with follow up items.
Other duties as assigned by a direct or indirect superior manager.
Responsible for the employee’s uniform stock control in accordance with the station approved budget.
Uniform orders and follow-up if missing items.
Ensure professional uniform delivery and communication to all staff (Uniform hours etc.).
Implement and maintain a hand-in process whenever staff hand in or change uniform.
Responsible for the control of office equipment and operating supplies. Arrange for repair/maintenance as necessary.
Manage and coordinate stationary, water and vending machine supplies.
Responsible for the administration of contracts between the Company and approved company suppliers.
Responsible for the maintenance of the company premises and annexes by the use of contracted maintenance providers.
Ensures tasks are performed in accordance with the Company and Airlines specific procedures and policies.
Required to attend the mandatory training imposed by the Company and Airlines as per job role.
Booking of hotel and meetings rooms as per request from Station Manager or HR team.
Provide confidential secretarial and administrative support to the Station Manager, HR team and the team of Operational Managers.
Assist HR team in document retention and filing according to Menzies Policy, keeping personal files up to date.
Support the Management team and HR team in communication information towards staff.
Liaise with the company approved suppliers in regard to any signed agreements between them and Menzies Aviation YUL.
Other duties as assigned.
Qualifications and Experience:
Previous administrative, payroll experience.
Fluent in English and French
Ability to communicate verbally and written in English in a clear, concise manner.
Must be able to treat confidential information as required.
Proficient in MS Office, Word, Excel, Power Point, Outlook etc.
Must have and maintain valid Transport Canada Security Clearance.
Must have valid G or G2 Provincial driver’s license in good standing.
Must be available and flexible to work variable shifts, weekends and holidays when required.
Must be at least 18 years of age & legally able to work in Canada.
Proficient in Federal Labor Code.
Must be able to lift up to 30 kg when required.
Able to comply with an administrative working schedule and work extended hours when required.
Able to manage the working time in a very efficient way in order to finish the tasks in a timely manner.
Ability to work using own initiative and without supervision.
Good attention to details.
Good team player.
Excellent organization planning and administrative skills
Excellent interpersonal skills with the ability to communicate with people at different levels and from different geographical and ethnic cultures.
Experience of working in a busy, sometimes high pressure environment.
Experience of dealing with work of a confidential and sensitive nature.
Les principales responsabilités comprennent :
Recueille toutes les données statistiques pour que le gestionnaire de la station puisse formuler les rapports requis.

Travaille avec les RH pour sassurer que tous les employés ont terminé leur inscription aux avantages sociaux de lentreprise et coordonne leur inscription par lintermédiaire du siège social.
Sassure que les employés ont une pièce didentité à jour au dossier (CIZR valide, permis de conduire, certificat de naissance, passeport ou citoyenneté ou carte RP, carte NAS).
Coordonne lassistance administrative.
Représenter lentreprise de manière professionnelle.
Assiste le directeur général (ou son remplaçant) avec les rapports financiers et la facturation.
Aide le comité local de santé et de sécurité à rédiger des procès-verbaux et à effectuer des suivis.
Autres tâches assignées par un supérieur hiérarchique direct ou indirect.
Responsable du contrôle des stocks duniformes de lemployé conformément au budget approuvé de la station.
Commandes uniformes et suivi si articles manquants. Assurer la livraison et la communication uniformes professionnelles à tout le personnel (horaires uniformes, etc.).
Mettre en œuvre et maintenir un processus de remise chaque fois que le personnel remet ou change duniforme.
Responsable du contrôle du matériel de bureau et des fournitures de fonctionnement.
Organiser la réparation/lentretien si nécessaire. Gérer et coordonner les fournitures de papeterie, deau et de distributeurs automatiques.
Responsable de ladministration des contrats entre lentreprise et les fournisseurs agréés de lentreprise.
Responsable de lentretien des locaux et des annexes de lentreprise en faisant appel à des prestataires de maintenance sous contrat. ·
Sassure que les tâches sont effectuées conformément aux procédures et politiques spécifiques de la société et des compagnies aériennes.
Nécessaire pour assister à la formation obligatoire imposée par la compagnie et les compagnies aériennes selon le rôle du poste.
Réservation dhôtel et de salles de réunion à la demande du chef de gare ou de léquipe RH.
Fournir un soutien administratif et de secrétariat confidentiel au chef descale, à léquipe des RH et à léquipe des responsables opérationnels.
Aider léquipe des RH à conserver et à classer les documents conformément à la politique de Menzies, en tenant à jour les dossiers personnels.
Soutenir léquipe de direction et léquipe RH dans la communication dinformations vers le personnel.
Assurer la liaison avec les fournisseurs approuvés par lentreprise en ce qui concerne tout accord signé entre eux et Menzies Aviation YUL Autres tâches assignées.
Diplômes et expérience :
Expérience antérieure en administration, paie.
Parle couramment langlais et le français Capacité à communiquer verbalement et par écrit en anglais de manière claire et concise.
Doit être capable de traiter les informations confidentielles au besoin. Maîtrise de MS Office, Word, Excel, Power Point, Outlook, etc.
Doit détenir et maintenir une cote de sécurité valide de Transports Canada.
Doit détenir un permis de conduire provincial G ou G2 valide en règle.
Doit être disponible et flexible pour travailler des quarts de travail variables, les fins de semaine et les jours fériés, au besoin.
Doit être âgé dau moins 18 ans et être légalement capable de travailler au Canada.
Maîtrise du code fédéral du travail. Doit être capable de soulever jusquà 30 kg au besoin.
Capable de se conformer à un horaire de travail administratif et de travailler des heures prolongées au besoin.
Capable de gérer le temps de travail de manière très efficace afin de terminer les tâches en temps opportun.
Capacité à travailler de sa propre initiative et sans supervision.
Bonne attention aux détails. Bon joueur déquipe.
Excellentes compétences en planification organisationnelle et en administration Excellentes compétences interpersonnelles avec la capacité de communiquer avec des personnes de différents niveaux et de différentes cultures géographiques et ethniques.
